[00:00] let's learn from someone that's actually building out a software company the entire onboarding process for an unpaid intern so in the previous video of this entire series here we went over legal contract so we can say bye-bye legal contract now we'll be going over the onboarding process so we've gone through all those other steps how do we onboard a unpaid intern into our company for those of you who have just found this video this is part of a multi-part series where I go from sourcing interviews offer letters legal contracts all the way to where we are now and showing you how to hire unpaid interns if you are not just joining me and you're part of the longer version of
[00:31] this video hello just want to get this out of the way well let's going to jump in here as we're going to understand everything that comes down to onboarding a new unpaid intern I want to quickly know if you're watching this in the longer form of the video and you're like Corbin where the heck was this part I do that sometimes with my series here well I'll give out 90% of the content for free on YouTube but the little 10% you can go Ahad and check out my school Community description down below and you can check out the legal contract video Let's onboard so here we go here's everything we need to know about onboarding that unpaid intern they signed the legal contract they sign the offer they went through the entire
[01:01] vetting phase they're part of our new little class list that you saw earlier in this series what do we do first major thing is because of the fact that you're going to be creating a company email associated with this unpaid intern we need to start with a welcome email and we want to make this welcome email pretty detailed in the sense of next operational steps for you as an individual so I put a little as here CU I'm going to link two videos here I know that's a lot of corbon faces but just ignore them the first video I'm going Link in the description is going to be how to use AI to design emails this is going to show you how to create really really nice welcome emails that are
[01:32] built with HTML and CSS don't worry no coding experience you'll be able to still design them and then the second video I'm going to link is like a 43 minute video I'm going to show you how to use zapier a no code automation software to automate the entire onboarding process when it comes to sending out that email scheduling training and more so this is a pretty cool video right here 43 minutes long yeah didn't get that much love when I put it out eight months ago but trust me there's a lot of value here I think I even put the zapier AI Automation in there check it out so that's operationally how we're going to create those videos but what should actually be
[02:02] in the email itself this is going to be how you structure your project management in any context for your company so what I mean by this is we call them PM softwares is operationally when you hire an unpaid intern how are they going to operate in your company how are they going to communicate with you how are they going to know what they need to do everything like that should be within this onboarding phase at least creating the account so up to this point we want to ensure that we've created their custom email which is like the at company.com so what we did personally is since we already have that data from that Google
[02:33] sheet we set up in earlier tutorials we know their original email that they applied the entire internship route with right so we got the original email of e with e we're going to send them an email just basically like hey we just created your company account go ahead and log in and sign up how do I create that email Corbin it's very simple just go to your Google workspace go to users create new user and create their account with their first name or however you want to name set email and then what you'll do is you'll simply put their AR original email as the one that you'll send the invitation to once an individual creates
[03:04] their email then that is where the welcome email is going to show up we're going to make it so that on creation as we do in that no code automation video we automatically send them the welcome email with all the information that we care about so what is information we care about like I referenced before this is going to be our PM softwares this is what we use personally at bump UPS this is where we're going to include things such as hey join our slack Channel with your company email we use jira which is going to be our kaban board that we give you Associated stories tasks spikes everything of that nature is going to be
[03:34] how we manage task this is what jir is this is really good this is extremely powerful even if you're not a software company this is powerful for identifying who needs to do what labor and how to associate it especially when you're working in teams slack is just slack I think you know what slack is we all love slack thing that's amazing about slack even at the point we are now with 13 internal employees we don't even have to pay for a plan yet it's all free still all super good typically we're going to structure team oriented channels uh general channels social channels
[04:05] everything of this nature I want to be clear though you might be saying Corbin you need to dive deeper into these topics I will be diving deeper into these topics when we do our other playlist here on this channel so make sure to subscribe here about managing teams because this deserves a whole other series of videos when I say managing teams this means how do I know their quote unquote Sprint capacity what's a Sprint Corbin two weeks of labor what does it mean at the end of a Sprint what is a spike what is a stand up I'm going to show you how to manage teams in the sense of how to associate labor and how to functionally handle a remote operation within a software
[04:37] company what's great is that the labor and the way of associating labor from this video could be basically applied to any company like for context the way I'm treating my social media interns is this same way I'm treating my front-end interns when it comes to labor and how we associate labor and how they're approaching their Sprints and everything above the board so welcome email is just the big context of here's the situation here's how we operate here's how we proceed so what's next next is going to be the Ice Break intro meaning what I mean by this is that whatever the class size is for your internship program you
[05:07] should have a companywide meeting just right off the bat everyone involved jump in a call have a nice little presentation that gives context on the founders give context on the actual software or company itself like what are we what do we provide and then an idea for an overall objective that that 12we program 16we program or however long your program is is trying to achieve right General very much like with y'all you want to work together to achieve X Y and Z and then after that this is where we break down into more 10one meetings
[05:39] so you'll have your nice little Icebreaker meeting what we typically do is that for the tech heavy interns we'll do another intro meeting but more for the tech side making sure they're set up with the git repo set up with different types of code files that we need access to and essentially making sure everyone starts at Ground Zero so we jump into our first Sprint planning we know how to operate at least the access to the git repo and and the access to the code so whatever that means for your company translate that but a big thing here is that Icebreaker meeting is just like a one-off companywide meeting let's just see the team for this entire class in
[06:11] reality what you're going to want to do especially when you start dividing out labor is you're going to do these one-on-one meetings with the interns themselves we call them sprint planning and we'll have the frontend team all join a call everyone gets their Associated labor that they want to do and then after the call we'll jump in oneon-one meetings so we can make sure that whatever they were tasked to do they know how to do and know how to approach the problem one-on-one meetings is just extremely fundamental as this gives more clarity on a topic where a individual may not want to ask a question in a team setting but is like
[06:41] yo let's just dive into the weeds together in a one-on-one meeting and which obviously parlays with the team meetings here where you'll typically start a team meeting labor out one-on-one meeting understand the labor and proceed here's a big thing to understand about the onb boing phase let's say your program is 12 weeks long the onboarding phase is very much if you ever been to college or you ever went to school typically like the first week is like syllabus week where it's kind of like get your footing get your grounding what's going on how do I operate that's the onboarding phase so you have a 12we
[07:11] program the first week is kind of dedicated towards making sure everyone's on the same Level Playing Field so that when we jump into those Sprint planning meetings or we doing that different objective it's not like yo Corbin I don't even have an access to XYZ it's like oh no no we set that up in the first week so you're going to go so leverage the first week not like I got 12 interns I'm GNA just throw the entire sink at them no no no no no the first week is very much get to know them get them on the same level that you at when it comes to access and everything that's within your company make sure you have access to the slack channel do you have
[07:42] access to that repo do you understand this this is a time for questions to be asked obviously through the entire program questions will be asked but this is very much the time to be very transparent and be like hey ask me any question doesn't matter what let me answer it now so that we don't have this coming up 6 weeks from now other than that though once you have them fundamentally onboarded onto your team with access to all the relevant PM softwares that's when we jump to the next step here so first off AV Z in unboarded and now we are going to our next playlist here managing teams this playlist is
