[00:00] welcome to the final lesson in this module for the building blocks of an a automation agency in this video we're going to be showcasing the possibilities and capabilities of cly C is a scheduling software that allows the potential lead to click a link and then get available all the associated dates and times that you are available this allows for to expediate a process so you don't have to go back and forth in email on specific times and dates that would work best for a call now alternatively you don't necessarily have to use
[00:30] calendly you could use another solution like Google meet your reference when it comes to pricing calendly is free but when you want to use more perks it's going to cost either $8 a month or $12 a month the purpose of just starting out as an a automation agency you can always use the free version and what's great is you can still connect the API with zapier all right so we're going to be building out two major calls you want within your a automation agency and that's going to be a client call and it's going to be a consultation call now before we do that and we dive into all
[01:00] the intricacies about creating a call and everything that should go into it let's go ahead and make our schedule if you come up to your top tab here and you go to availability go ahead and create a schedule for the times you would be available so let's go ahead and do that together we're going to do new schedule here we're going to just put in test hit create and essentially what this allows you to do is you're going to be able to set times that you would be available so in the context of your schedule essentially you will go ahead and have and make sure you click list view so
[01:31] this has a better UI you have Sunday through Saturday and if you click on Saturday it'll be available if you unclick it won't be available and then essentially you can choose the times that you will have the ability to jump in the call once you've created a schedule you like go ahead and set it as the default and now all the calendars associated with your meetings will be updated okay let's go ahead and create our first most fundamental call which is going to be the free consultation we're going to come up here to new event and we'll do 101 and then from here
[02:02] let's go ahead and name it to free consultation for location we can go ahead and set it to a Google meet a zoom a phone call for our context we're going to do Google meets and then we're going to want to have go ahead and add a description the purposes of this video we're going to provide our own description here at webcafe Ai and essentially what you want to do is you want to give one it formatted so it's easily digestible with these bullet points and two just give an idea of what they can expect in the call so for us we say join us at webcap AI for
[02:33] complimentary online consultations designed for businesses interested in AI automation then we lay out four main points that we could go over possibly in the call go ahead and input whatever text you want here we're going to go ahead and keep free consultation and finally let's go ahead and change whatever color we want the event to be I'm going to keep it as Violet I'm going to hit next so the next thing we're prompted to do is provide more information about the event itself the first thing we can do is set when invi these schedule whether that be 60 days in the future 90 days in the future and
[03:04] so on you can even choose the choice of indefinitely in the future although we suggest here to do within 2 months so it isn't like you have a call 6 months from now following this you can set the duration of the call for us we like to do 15 minutes for free consultation due to the fact that time is valuable and you need to be able to prioritize people that are already paid clients over people that are just going to be using a free consultation following this you're going to be able to set up your schedule as you see here this is going to be the default schedule that you created earlier go ahead and place it here and
[03:34] then this is going to be where they can choose what time to talk to you now the next most important part that we suggest doing here is add 15 minutes before and 15 minutes after the event so that gives you a little bit of breathing room so you don't have three calls back to back to back and you're able to you know either write a new DOC for notes grab a new piece of paper and so on all right once you do that we're going to hit next and there we go we have successfully created did our free consultation now there is a couple more things we can do with this scheduling link the first
[04:05] thing we can do is add more questions so as you see here we are provided with two variable inputs and then essentially share anything else you would want to so went ahead and click this I can go and change these input to first and last name if I go ahead and click this I can change the underlying question and I can even add questions with all these different choices furthermore as you'll notice you can add a required or not required so an example would be asking the question what industry are you in and then we can make that required so we get more context before jumping in the
[04:37] call essentially are we dealing with restaurant construction commercial real estate and so on and we kind of already have a gauge of the type of conversation we'll probably have the next section here is workflows so if I hit save and close here if I go to workflows you can set up automations um this is either through zapier or their front end automations that they already provide are pretty sufficient here so you can automatically activate a email reminder an email followup and a text reminder finally you can change where the confirmation page takes you so instead of displaying cendes confirmation page I
[05:08] could take them to an external website like a YouTube channel or a resource center and lastly in the context that you are accepting payments for the underlying consultation call you can go ahead and accept it with stripe or PayPal once you're satisfied with your consultation and all the information about it you can go ahead and check it out with this view live page feature and you'll be able to go through a test on yourself so when I click through here go to the 9th 9:30 a.m. hit next here provide my name email the industry I'm in any other information and then I'll
[05:39] be able to schedule the event automatically one good thing to note here is that if you want to copy this specific link you can go up here click this and now the link is copied and you can send it throughout and once you've created it it will show up directly on your calendar interface here and you have an admin link here so it shows all available schedules that you can do as a business now one thing I want to point out here is that now we need to create our consultation or our conversations with already existing clients in order to do so I'm just going to edit our
[06:09] already existing free consultation because of the fact that with existing clients you will essentially just up the duration change the description but the most important thing that you need to do using calendar Le so you make sure that people that aren't clients aren't scheduling using this link is we're going to make this a secret event by making this a secret event essentially it won't show up in our admin panel here you see it's not showing up anymore and essentially the only way a user could have the ability to schedule with you is if they have the link to that scheduling
[06:40] in order to make sure it works you'll see that little ey with a slash in it meaning that it is a secret event and only people with a link will be able to access and schedule with it now here are some pointers just for when you're get in a call and how to effectively have a good call with a potential lead firstly it's important to talk to that potential lead and see the potential pain points facing and how AI can help that now typically when you jump in a call you're either going to have two different types of potential leads the first one is going to know exactly what they want to do and they'll even walk you through the
[07:10] process of what they want a automation to do and the second one will not really know what direction but is very interested in the possibilities that AI has handling both these type of clients I suggest that you always notify the person that the meeting is being recorded due to the fact that especially with client a they're more likely to really walk you through the process of what they want accomplished and you're always going to want that video so you have reference when you build out the a automation exactly what they want for client B it's always good to have a
[07:41] video as well because of the fact that there tends to be a lot more question on Broad topics rather than very specific automations they're looking for unless the underlying client is reaching out to you with a very specific service that you already offer such as AI article generator and you know your fixed price is always a good rule of thumb to get an whole idea of what the project would entail before giving a price on it this is to ensure that both you and the client are very transparent and that when the price does come up into conversation it wasn't like well in the
[08:11] call you told me it was 500 now it's 800 because of XYZ rather only give a price when you are 100% sure that the service you're providing will be you know $500 we know we already have the pre-built solution for the a article generator so we know in our heads it's only going to take us maybe 2 hours to install it therefore we'll charge 500 perfect now you know everything you need to know about C Delite and scheduling these 101s with potential leads using C Delite is going to be a very effective tool at its ability to really automatically do a lot of stuff that you would have
